Roles and permissions

CoachBall uses a clear roles and permissions model to organize tasks, responsibilities, and access to information safely and neatly within one or more environments (workspaces). Below you will find a comprehensive explanation of the roles, what they can do, and how this works in practice.

What is a workspace?

A workspace is your own environment within CoachBall. Think of it as your club or team organization with all associated data: teams, players, practices, games, media, messages, and more. Data and permissions are per workspace separated; you only see and manage what belongs to your workspace.

Owner: the Head Coach (Coach) who created the workspace is the owner.
Inviting: the head coach invites other users and assigns roles in their workspace.
Multiple workspaces: you can switch workspaces where applicable.

Creating an account: start as Head Coach

When you create a new account you automatically receive the Coach (Head Coach) role and a new workspace is created for you. From this role you build your organization: you invite assistant coaches, team managers, players and guardians/parents. Intent and direction always lie with the head coach. Assistant coaches have nearly the same capabilities as the head coach, but the head coach remains the workspace owner.

Roles and their permissions

The following roles are available. For each role we explain typical capabilities.

Coach (Head Coach)

Owner of the workspace and responsible for full configuration.

Manage clubs and teams (create, edit, delete)
Manage players (create, edit, delete), view/edit statistics
Plan and manage practices, track attendance
Plan and manage games, manage line-ups, track attendance
Manage coaches (create, edit, delete), invite other members
Manage media and albums

Assistant Coach

Supports the head coach and can do nearly everything needed in day-to-day operations.

View teams and players; often manage players and practices
Manage practices and games, track attendance
View/manage media and albums (where allowed)
Not the owner: cannot claim workspace ownership

Team Manager

Operational support around team matters.

View teams and players
Help manage attendance for practices/games (if allowed)
Communication and organizational tasks around the team

Club Manager

Manages club-wide data.

View (and often) manage clubs
Manage teams and coaches within the club (where allowed)

Player

Access to own data and team information.

View own profile and relevant team information
View personal workouts and games
View media and albums (where public within the workspace)

Guardian

Access to information of linked player(s).

View player data of your own child(ren)
View team information, games, and practices
View media and albums (where allowed)

Scout

Can view players and games; often focused on statistics.

View teams, players and games
View statistics (read-only)

Media Admin

Manages media library and albums.

Upload, edit and delete media
Manage albums

Inviting and assigning roles

The head coach invites others within their workspace and then assigns roles. A person can have multiple roles; the combination determines what they can do. Permissions apply within the active workspace.

Access and privacy

You only see data within your active workspace.
Players and content are linked to a workspace; guardians only see information for their linked child.
Public profiles/pages are limited to what is explicitly made public.
